The challenge
A migration agency handles many visa applications at once. Each client has a case with a stage, documents, deadlines and a history of conversations, and the agency's work depends on tracking all of that reliably. Generic CRMs did not match how a migration practice runs a case, and the routine admin around each case took up staff time.
What we built
We built the agency a CRM using Zoho's suite of business apps. It is the migration equivalent of EduSync CRM, which we built for an education agency. The two have a lot in common, because education and migration agencies do similar jobs: take an enquiry, run a case, keep the client informed, and get paid.
On top of Zoho we added custom tools for the agency's own case process, automations for the routine steps in each case, and automated admin across the practice. The case, the client and the next step are all in one place.
Key features
- A CRM built on Zoho's business apps
- Custom tools for the agency's own case process
- Automations for routine case steps
- Admin automated across the agency
Results
The agency runs client cases from one system. Routine steps happen without someone having to remember them, which cuts admin per active case by about 20% in our estimate. Clients also reach a first consultation about 15% faster. Both are estimates, not audited measurements.
Figures marked ~ are estimates, not audited measurements.
Why it matters
Most of a migration practice's work happens inside a case, so we built the system around the case. Zoho gave the agency a solid base, and our custom tools cover the parts no off-the-shelf product did. For the intake stage, before a case exists, the agency can pair this system with EmigrateAI.
