The challenge
ACE Australia advises students and professionals on international education. As its client list and range of services grew, the business got harder to run. There was no central system, and everyday processes wasted time because of it. The generic CRMs on the market did not match how ACE actually worked.
What we built
We started with working sessions in every department, from sales to service delivery, so the system would suit every team that dealt with a client. We then looked at the technical options and designed EduSync CRM around ACE Australia's own processes.
EduSync is software built for ACE, not an adapted template. It holds the client record and connects to the rest of the business: email, automations for routine steps, marketing, and cash-flow management. ACE's operations now run in the cloud on one set of data. We kept the screens simple and trained each team, because people stop using a tool they find hard.
EduSync later became the base for more work at ACE. The invoicing automation, the lead follow-up funnel, the reporting dashboards and the Acey assistant each have their own page.
Key features
- A CRM designed around ACE's own processes, not a generic template
- Email integrated with client records
- Automations for routine steps
- Marketing and lead tools connected to the same data
- Cash-flow management in the same system
- Training for every team
Results
The CRM went live across ACE Australia's operations. Work moved with fewer hold-ups, and staff could see a client's whole history in one place. Admin time per active case fell by about 25% (an estimate, not an audited measurement). Leaders also had data to base decisions on.
Figures marked ~ are estimates, not audited measurements.
Why it matters
ACE did not have to change how it works to fit the software. We shaped the system around its process and trained the people who use it every day. We have built the same kind of system for a migration agency.
